Getting started

📖What is MebelPro

MebelPro is software for furniture production. It brings together orders, workshop stages, the warehouse, purchasing, time tracking and communication with the customer. It runs in the browser and installs on a phone like an app.

Each company has its own address, such as your-company.mebelpro.app. You choose it when you register. Everything in your company account is visible only to your employees.

An order is made up of materials — parts or groups of parts. Each material follows its own route through the workshop stages:

📋 Office→📐 Design engineer→🪚 Cutting→⚙️ Edge banding→🤖 CNC→🎨 Paint shop→🔧 Assembly→📦 Packing→🏠 Installation→✅ Done

Stages a material doesn’t need are simply switched off in its route. For example, a front might go through cutting, edge banding and the paint shop, while a carcass goes through cutting, edge banding and assembly.

Tip. Want to see how everything works first? Open the demo company in your language, for example demo-en.mebelpro.app. On its login screen you can tap any role and you’re straight in.

🏢Registering your company

  1. Open mebelpro.app and click “Try it free”, or follow the link in our email.
  2. Fill in the form: company name, address (subdomain), the director’s name and a 4–6 digit PIN.
  3. Email and phone are optional. It’s worth entering your email: you’ll receive an email with a link to your company and your first steps.
  4. Choose your country, default language and currency. You can change the currency later in Settings.
  5. Tell us how you heard about us, accept the terms and click “Create company for free”.

After registering, you land straight in your company, logged in as the director. It already contains a sample order that’s handy for trying everything out. You can delete it.

Free trial

  • The first 30 days are free, no card needed.
  • If you subscribe within those 30 days, the first 3 months are half price.
  • The price is €49 per month or €490 per year excl. VAT for the whole company, with as many employees as you like. More in the Subscription and payment section.
Remember your company address. This is the address your employees use to log in, for example smith-joinery.mebelpro.app. If you register a second time with the same email, the app will offer to log you in to the company you’ve already created.

🚀Director’s first steps

While the company is new, the director and manager see a “🚀 First steps” assistant above the order list. It ticks off completed steps automatically, and tapping a step takes you to the right place.

  1. Create your own order. The + Create order button above the order list.
  2. Add materials to the order. Open the order and add parts with a route through the stages.
  3. Add a worker. Settings → Employees → add, choose roles and a PIN.
  4. Add an item to the warehouse. Edge banding, hardware or paint — whatever you want to keep track of.
  5. Start the workday. The “Time” tab → 🟢 Start the workday.
  6. The worker logs in from their phone. Give them the company address and their PIN, and they can start marking work “Done”.
  7. Switch on a screen in the workshop. Settings → Employees → add an employee with the “TV Screen” role.

You can hide the assistant and open it again later with a button.

📲Installing the app

MebelPro installs on phones and computers without an app store. Once installed, an icon appears on the screen, the app opens without an address bar, and notifications arrive just as they do from any other app.

iPhone and iPad — best via Safari

  1. Open your company address in Safari.
  2. Tap “Share” at the bottom — the square with an arrow pointing up.
  3. Scroll down the menu and choose “Add to Home Screen”.
  4. Tap “Add”.
Tip. On iPhone we recommend Safari. If your browser has no “Add to Home Screen” option, open the company address in Safari.

Android

  1. Open the company address in Chrome.
  2. The ⋮ menu at the top right → “Install app” or “Add to Home screen”.

Computer

  1. Open the company address in Chrome or Edge.
  2. Click the install icon on the right of the address bar, then “Install”.

The login screen has a “How to install the app” button with the same instructions for your device.

🔐Login and PIN

Employee

  1. Open your company address or tap the app icon.
  2. Tap your name and enter your PIN.

The director issues the 4–6 digit PIN. You can change it yourself with the 🔑 Change PIN button in the header.

Don’t share your PIN. Every “Done” mark, defect and time entry is recorded against whoever is logged in. After five wrong PINs in a row, login for that employee is locked for 15 minutes.

TV screen

On the TV in the workshop, tap “📺 Log in as TV screen” and choose the screen for your area. More in the TV screens section.

Customer

The company’s customers log in via “👤 Customer portal” with a username and password. More in the Customer portal section.

⏱Time tracking

The “⏱ Time” tab. It can be switched off for the company if you don’t need time tracking.

Start of the day

  1. Tap 🟢 Start the workday.
  2. Choose where you’re working: in production, at an installation or from home.
  3. If the company uses projects, choose a project. The director decides whether it’s required.

The app will ask once for access to your location. Coordinates are saved at the start and end of the day so it’s clear where people clocked in and out.

During the day

Moved to another job site? Tap 🔁 Switch project. Your hours will be split between projects.

End of the day

🔴 End the workday. The break is deducted automatically: 60 minutes by default, or whatever the director has set in the employee’s profile.

Forgot to clock in or out? Tap ✏️ Correct time below the day buttons. Choose the day, start or end, the time and the reason. The time counts once the director approves the correction.

For the director

  • “✏️ Time corrections awaiting approval” — requests from staff who forgot to clock in or out. Approve or reject with one tap.
  • The “Today” team view — who is working, who has already finished, who is where and on which project.
  • Report for a period: this month, last month or custom dates, with a filter by role. For each employee: days and hours, with a day-by-day breakdown.
  • The “📋 By project” report — how many hours went into each job.
  • 📥 Download Excel — a summary sheet and a day-by-day detail sheet.

💬Chat and notifications

Order chat

  • Every order has a “💬 Chat” tab. Write to everyone involved, or pick specific people in the “To” field.
  • The “💬 Chats” tab gathers all the company’s conversations; the number next to it shows unread messages.

Notifications

  • When you first log in, allow notifications, or turn them on with the 🔔 button in the header. You need to do this on each device separately.
  • You get notified about new messages, new materials at your stage and changes to your orders.
  • Quiet hours — so your phone stays silent in the evening and at night.
Workshop staff

For workshop staff

🛠Basics for workers

A worker sees only what relates to their stage. No clutter on the screen.

“🔨 My orders”

  • This is your queue: all the materials currently at your stage. It looks the same as the screen in the workshop, just on your phone.
  • Urgent items ⚡ are at the top, followed by the rest in order of due date.
  • Border color: green — on schedule, yellow — deadline approaching, red — overdue or urgent.
  • The director can set the queue order manually.

Material card

Tap a material and its card opens: dimensions, board material, edge banding, route, files and the order chat.

ButtonWhen to tap it
✓ Done →The work is finished. The material moves on to the next stage of its route automatically.
⚠️ DefectA chip, wrong size or some other problem. Give the reason and attach a photo — the material goes back to the stage where it will be redone.
📝 NoteA few words for the next stage: “edge one side only”, “careful — glass”.
🛒 PurchaseOut of material or hardware. Write what you need — the director will see it in Purchasing.
✅ Material arrived — ready for workThe purchased items have been delivered; you can carry on.

Tapped “Done” by mistake? Tell the director, who can send the material back via the Log.

Files and tools

  • Drawings, photos and programs open right in the app — no need to download them. You can zoom in on images, and page through and print PDFs.
  • “🛠 My tools” in the header shows the tools issued to you personally.

🪚Saw operator

Cutting is usually the first stage of the route.

  1. Open a material from your queue and check the dimensions and the drawing.
  2. Cut the parts.
  3. If the app asks, enter how many sheets of board you used — that’s how consumption is tracked.
  4. ✓ Done → — the material moves on to edge banding, CNC or further along its route.

⚙️Edge bander

  1. The material card shows the required edge banding: color, width, thickness.
  2. Edge-band the part and tap ✓ Done →.

Took a roll of edge banding from the warehouse? Mark Taken next to the item on the “📦 Warehouse” tab. Running out of edge banding? Tap “🛒 Purchase” or tell the director.

🤖CNC Operator

  1. The machine program is in the order files, in the “🪚 BAZ-Programm” folder. The design engineer uploads it.
  2. Download the file, load it into the machine and run the job.
  3. ✓ Done →.

No program? Message the design engineer in the order chat.

🎨Painter

The paint shop is split into four steps. The painter and the sander each see their own steps:

🧽 Pre-sanding→🟫 Priming→✨ Final sanding→🎨 Painting
  1. After pre-sanding, an “Apply primer” task appears for you. Once you’ve primed it, mark it done.
  2. The material dries. A “Primer drying” timer runs on the screen; the director sets the drying time.
  3. After drying, the material automatically goes to the sander for final sanding, then comes back to you.
  4. Paint it and mark the painting done. Another timer starts: “Paint drying”.
  5. After drying, the material automatically appears in assembly or packing.

If the route goes from painting straight to packing and no packer is assigned to the order, you’ll see a “📦 Ready for packing” task after drying.

Paint

The “🎨 Paint shop” tab holds the paint stock: cans, remaining quantities, tare weights. Running out of paint? 🎨 Order paint. If a can is past its shelf life, it is marked “🔴 DISCARD”.

🧽Sander

  1. A new paint-shop material comes to you first for pre-sanding. Once it’s sanded, mark it done and it goes to the painter.
  2. After priming and drying, the material comes back for final sanding. Mark it done and it goes back to the painter for painting.

If an employee has both roles, painter and sander, they see a combined screen with all four steps.

🔧Assembler

  • You see the orders the director has assigned you to. An order with no assembler assigned is shown in grey to all assemblers.
  • You can see all the materials in an order. Grey ones are still being worked on at other stages; bright ones with a “Done” button are already with you.
  • Assembly diagrams are in the “🧩 Assembly drawings” folder.
  1. Wait until the order’s materials reach assembly.
  2. Assemble the unit and mark ✓ Done → for each material.

Often the assembler, packer and installer are the same person. The director can assign them to all three stages of an order at once.

📦Packer

  • You see orders you are assigned to as packer, and orders with no packer assigned.
  • When all of an order’s materials have arrived at packing, pack them and tap ✓ Done →. The materials go to the installer or straight to “Done”.

🏠Installer

  1. The installation date and deadline are in the order info. The customer’s address and phone number are there too.
  2. Before heading out, start your day in “Heading to installation” mode.
  3. Appliance manuals and installation diagrams for built-in appliances are in the “🔌 Appliances” folder, assembly diagrams in “🧩 Assembly drawings”.
  4. Once installed — ✓ Done → for each material.

Something doesn’t fit or got damaged on site? ⚠️ Defect with a photo. The manager will see it and send the part to be remade.

Office

For the office

📐Designer

  • You create orders with the + Create order button: customer, deadlines, price, description.
  • You upload drawings and photos to the order files.

📊Overview, calendar, reports

📊 Overview

A summary for today: orders in progress, urgent and overdue orders, how many materials are at each stage, defect returns by reason and this week’s deadlines.

📅 Calendar

Production and installation deadlines by day. The designer and measurer see only their own orders.

📈 Reports

For a week, month, quarter or year: revenue from issued invoices, top customers, stage workload, sheet consumption.

📋Queue and ✅ Log

Queue

Set the order of work at each stage manually. Use the “Up” and “Down” buttons to move important items up — workers and the workshop screen will see the new order. ↺ Reset positions restores ordering by due date.

Log

Every mark: who marked what and when, filterable by employee and stage. If someone tapped “Done” by mistake, return the material to the right stage with the “↩ Return” button.

📦Warehouse

The warehouse is set up to suit your workshop: you create the sections and fields yourself. Typically these are edge banding, hardware, glue and fixings.

  • Each item has a name, quantity in stock, minimum stock, supplier and photo.
  • Workers mark Taken when they take something from the warehouse.
  • When stock drops below the minimum, the item is highlighted and can be sent straight to purchasing with the required quantity.
  • Set up suppliers once: contact person, email and an order email template.

🛒Purchasing

Everything that needs buying ends up here: workers’ requests from material cards, warehouse items below minimum, hardware for orders. The number on the tab shows how many items are waiting.

  • The list is grouped by supplier.
  • ✉️ Write an email — a ready-made email to the supplier with the whole list. 📋 Copy list — to paste into a messaging app or the supplier’s website.
  • Mark what you’ve ordered. When it’s delivered — ✅ Arrived: warehouse stock goes up, and materials in orders automatically go back into production.
  • The purchasing archive shows who ordered what, who received it and when it arrived.

🎨Paint shop: paint and drying

  • Paint stock. Colors, cans, quantities left. You can weigh the empty can (tare) to calculate what’s left more accurately.
  • Shelf life. Counted from the can’s date of manufacture. An expired can is marked “🔴 DISCARD”.
  • Paint requests. The painter taps “🎨 Order paint” — for a specific order or just for stock.
  • Drying time. Settings → Paint shop: how many hours primer and paint take to dry. The painter’s timers and the timers on the workshop screen are based on these.

📺TV screens in the workshop

A large screen above a work area shows that area’s queue. Workers can see what to do next without taking out their phone.

Setup

  1. Settings → Employees → new employee, for example “TV Cutting”, role “📺 TV Screen”.
  2. Choose the stage to display and the orientation: horizontal or vertical.
  3. On the TV, open the company address in the browser, tap “📺 Log in as TV screen”, choose this screen and tap “Full screen”.

What the screen shows

  • 🟢 In progress — can be done now.
  • ⏳ Drying — with a countdown until drying is finished.
  • 🔵 Awaiting purchase.
  • Pending — still at other stages, coming here soon.

If the paint shop screen is a touchscreen, materials can be marked done on it with a single tap. The director sees all the company’s screens on the “📺 TV” tab.

Samsung TVs. Turn off “Eco Solution”, auto power off and the sleep timer, otherwise the screen will keep switching off.

👤Customers and the customer portal

Customers

The “👥 Customers” tab is the company’s customer database: contacts, addresses, notes and all their orders.

Customer portal

Regular customers — designers, builders, other furniture makers — can submit orders themselves and track their progress.

  1. On the login screen, the customer taps “👤 Customer portal” and registers their company. Alternatively, you can create access for them yourself.
  2. You approve access in the “Customer requests” tab → “👤 Accounts”.
  3. The customer creates a draft order: materials with processing stages, hardware, files, deadlines — and taps “📤 Submit for approval”.
  4. You open it in “📦 Pending approval” and approve it, edit it or send it back for changes with a comment.

Once approved, the customer can see which stage each of their materials is at, the completion and installation dates, and whether purchased materials have arrived. The portal can be switched off for the company.

👥Employees

Settings → Employees. Each employee has:

  • Name, roles and a 4–6 digit PIN. An employee can have several roles, for example assembler and installer.
  • Break in minutes — deducted from the workday.
  • Theme — light, dark or automatic based on role.
  • Custom orders only — in assembly, packing and installation the person sees only orders assigned to them personally.
  • Customer’s companies — limit which customers’ orders the employee can see.
  • Issued tools — a list with photos and a note, for example an inventory number. The employee sees it in “🛠 My tools”.

The list shows who is using the app right now and who hasn’t logged in for a while.
